# I have to send cold sales emails to people who've never heard of us, and mine get no replies.

Bring one prospect's name and role, the specific reason you're writing to them, the problem you solve, one result you can prove and a small ask. HidenGPT's Email format, set to Sales / cold email, drafts a message under 120 words with three other subject lines and flags spam wording. You check it and send it yourself.

## How to do it in HidenGPT

- 01 Pick one person, not a list, and find one true, specific reason to write to them now: a job post, a new location, something they published.
- 02 Under Email type keep Sales / cold email, put their name and role under To and one small request, such as a 15-minute call, under Your ask.
- 03 In the main box, give the reason, the problem you solve in their words, one result with a number and a named customer you have permission to mention.
- 04 Leave Length on Short and read the draft as the recipient would: if the first sentence could go to anyone, rewrite it.
- 05 Send it from your own mailbox or sales tool with your company's postal address and an opt-out line, and plan one follow-up a few working days later.

## A four-sentence template and two examples

Template:

1. Why them, why now: one fact about their business you didn't make up.
2. The problem that fact usually brings, in the words they'd use.
3. What you do about it, with one result: a number and a customer name.
4. One small ask with a time frame.

Example 1 (the request above), 84 words:

“Subject: Repair requests across 14 buildings

Hi Rachel,

I saw Lakeside is hiring two maintenance coordinators. With 14 buildings, a lot of their day probably goes to chasing repair requests between calls, emails and sticky notes.

Fixlog lets tenants report a repair by text, and your team sees every request in one list with photos. Cedar Row Apartments cut their average repair time from 6 days to 3 in the first quarter.

Would a 15-minute call next week be worth it to see if it fits?

Ben Ortega
Fixlog”

Example 2, a freelancer writing to a restaurant owner, 71 words:

“Subject: Your new lunch menu photos

Hi Luis,

Congratulations on starting weekday lunch at Brasa. The menu on your site still shows the dinner photos, which makes the $14 lunch plates hard to picture.

I photograph food for restaurants in East Austin; Pho Thai Lan's online orders went up after we reshot their menu last spring.

Could I stop by on a quiet afternoon next week and shoot three dishes as a sample?

Nora Diaz”

Notice the claim in example 2: “went up” with no number, because a number you can't back up is worse than none.

## Why most cold emails go unanswered

Five habits sink most of them:

- The first sentence is about the sender: “My name is Ben and I'm the founder of Fixlog.” The recipient learns that from the signature.
- Fake personalization: “I came across your profile and was impressed.” Everyone gets that line.
- No proof, or proof that can't be checked: “we help companies grow” instead of a number and a name.
- Three asks: a call, a demo, a reply with the right contact. Pick one.
- Length. Past about 120 words, people skim; past 200 they archive.

Before, 52 words: “I hope this email finds you well. My name is Ben and I'm reaching out because Fixlog is an innovative platform that helps property managers streamline maintenance operations and improve tenant satisfaction. I'd love to set up a call, a demo or connect with the right person on your team.”

After, 29 words: “Lakeside is hiring two maintenance coordinators. Fixlog lets tenants report repairs by text; Cedar Row cut repair time from 6 days to 3. Worth a 15-minute call next week?”

The subject line follows the same rule: name their situation, not your product. “Repair requests across 14 buildings” beats “Introducing Fixlog”.

## The rules that apply before you hit send (US)

A summary of two official pages read on 15 October 2026, not legal advice.

The FTC's CAN-SPAM compliance guide says the law covers commercial email to businesses as well as consumers, with no B2B exception. Your From and Reply-To details must be accurate, the subject line must not mislead, the message must be identifiable as an ad, it must include a valid physical postal address, and it must give a clear way to opt out that you honor within 10 business days. Each email that breaks the law can cost up to $53,088.

Google's sender guidelines for Gmail ask every sender to set up SPF or DKIM and keep the spam rate reported in Postmaster Tools under 0.3%. Anyone sending more than 5,000 messages a day to Gmail accounts also needs DMARC and, for marketing mail, one-click unsubscribe.

In practice: send cold email from a real mailbox in small numbers, honor every “please stop” the same day if you can, and let your sending tool add the postal address and unsubscribe link. The Email format is told not to invent those footers, so they won't appear in the draft. If you email people in the EU, the UK or Canada, consent rules are stricter; check them before you start.

## What the Email format checks in a cold email

Sales / cold email is the Email format's default type, so this page only needs to open it. The type tells the draft to make the first sentence specific to the recipient, then go problem, solution, one piece of proof and one small ask, and stay under 120 words. If the body runs past 160 words you get a warning.

The subject line is kept to about 50 characters, with a warning past 60, and Subject line ideas adds three alternatives under the email. The spam check flags wording such as “act now”, “click here”, “100%” or a row of exclamation marks. Tone can be Professional, Friendly, Formal or Persuasive; Persuasive tends to add pressure that cold readers resent, so start with Professional.

The draft can only be as specific as your notes. With no reason to write to this person, you'll get a polite, generic email, which is a sign to do more research, not to send it. A light red pen pass removes “I hope this email finds you well” and similar lines. On a plan, a voice built from sales emails you wrote that did get replies keeps your style. HidenGPT drafts one email at a time; it doesn't send, sequence or track anything.

## Not the right tool if

- Bought email lists or sending the same email to thousands of people. That is a sending-tool job with legal rules attached, and the page assumes one person at a time.
- Claims you can't back up: invented results, made-up customers, fake “re:” subject lines.
- Regulated offers such as financial, health or legal services, where marketing claims have their own rules. Check with your compliance person first.

## Other ways to do it

A warm introduction

If anyone you know knows them, a two-line intro from that person beats any cold email. Ask for it first.

A sales engagement tool such as a sequencer in your CRM

Handles sending, follow-up timing, opt-outs and tracking. You still need one good first email to load into it.

A LinkedIn message

Can work for a short first touch when you have no email address. Keep it even shorter than the email.

ChatGPT or another chatbot

Fast for variations, though it leans on “I hope this finds you well” and “streamline”, so give it your one specific reason and cut the filler.

## Questions

### How do you write a cold sales email that gets a reply?

Open with a specific reason you're writing to this person, name the problem in their words, give one result with a number, and ask for one small thing. Keep it under about 120 words.

### How long should a cold email be?

50 to 120 words is a common range. HidenGPT's cold email type aims for under 120 and warns you past 160.

### What is a good subject line for a cold email?

One that names the recipient's situation in a few plain words, under about 50 characters, such as “Repair requests across 14 buildings”. Skip fake “Re:” prefixes: readers see them as a trick, and CAN-SPAM requires a subject line that doesn't mislead.

### Is cold emailing legal?

In the US, yes, if you follow CAN-SPAM: accurate sender details, an honest subject line, a postal address and an opt-out you honor within 10 business days, and it applies to B2B email too. The EU, UK and Canada have stricter consent rules.

### How many follow-ups should I send after a cold email?

One or two, a few working days to a week apart, each adding something new. Stop after that, and stop at once if they ask you to.

### Is it OK to use AI to write sales emails?

Yes, as long as every claim is true and you send it as yourself. HidenGPT drafts from the prospect details and proof you give it; you check the numbers and names, and you're responsible for what goes out.

### Can I try it before paying?

Yes. The homepage gives visitors 2 drafts a day without an account, enough to test one prospect. A plan adds saved drafts and voices built from your own emails; Pro is $3 for the first month.
