What a good apology for a missed meeting contains
Five parts, in this order: a subject line that names the meeting, one plain apology, what happened in a clause, what you have done or will do about it, and a question that settles the new time. Nothing else is needed.
Here is a version for a manager, 53 words long without the subject line:

I'm sorry I missed our check-in at 2 pm today. I had it down for 3 pm and should have checked the invite.
I've read your slides and written out my three budget questions. Could we meet tomorrow at 10 or 11? I'll work around your calendar if neither suits.

Count what it does. There is one “sorry”. The reason is one sentence, and it is a reason Priya can check against the invite. Most of the words go to the next step: the slides are read, the questions are written, two times are offered, and there is a fallback if neither works. She can answer in four words.
If you do not have a reason, leave it out. “I'm sorry I missed it” followed by the next step is better than an excuse you have to polish.
Before and after: cutting the groveling
Here is the version most people write first, 64 words:
“I am so, so sorry. I feel terrible about missing our meeting today and I completely understand if you are upset with me. I know how busy you are and how much your time matters, and I cannot believe I let you down. This is totally unlike me and it will never happen again. Please forgive me for any inconvenience this may have caused.”
It says sorry three times, tells the reader how to feel and never says when you will make it up. Six things to cut or swap:
- “I know how busy you are”: they know. Say what the miss cost them instead, such as “you waited 20 minutes”. - “any inconvenience this may have caused”: it names nothing. Name the cost or leave it out. - “I feel terrible” and “I cannot believe I let you down”: these ask the reader to comfort you. Your job is to make the next step easy. - “it will never happen again”: a promise nobody can check. Say what you changed, for example “I've added a 15-minute reminder to every invite”. - A second and third apology: as a rule of thumb, one is enough for a colleague and two at most for a client who was waiting. - More than one clause of backstory. The traffic, the other deadline and the bad week belong in a conversation, not in the email.
After the swaps, the plain version above does more in fewer words: 53 against 64 words, with two new times offered instead of none.
How much to say, and how fast to send it
A rule of thumb, not a measurement: the more people who waited, and the less they know you, the longer the email, up to a limit.
- A routine team meeting such as a weekly sync: two or three sentences, about 30-50 words, and a request for the notes. - A one-to-one with your manager: four or five sentences, about 60-90 words, with the catch-up step you have already taken. - A client, customer or outside guest: about 70-110 words. Say what they lost, offer two time slots and send the invite yourself once they pick. - A job interview or a call that works like one: about 50-80 words, one apology, and a polite question about whether another time is possible. The decision is theirs, so do not argue for it.
On timing, send it as soon as you notice, ideally within an hour and on the same working day. If the meeting is still running or only just ended, a short chat message or a phone call comes first and the email follows. If days have passed, add one sentence, such as “I should have written sooner”, and nothing more.
Here is the same shape for a client, 74 words:

What the Email format does, and what it needs from you

That type is told to own the problem without excuses, say clearly what will be done and by when, and not promise compensation that nobody offered. Short keeps the draft to 50-120 words. It works from the facts you give it, so a reason you leave out stays out and a time you do not supply will not be invented. If something is missing, such as your name, expect a placeholder in square brackets and fill it in. Not the right tool if
- A miss that had real consequences, such as a lost deadline, a client who is angry or money involved. Talk to your manager first, and let a person decide what the email promises.
- A reason that isn't true. The draft repeats what you tell it, and a made-up excuse is easier to catch than a plain “I got the time wrong”.
- A missed court date, exam or similar formal appointment with its own rules. Contact that office directly and ask what it requires.
