I want to ask my manager for a few days off. How do I write the request so it's easy to say yes?

Bring the exact dates, how many working days that is, who covers what while you are out and anything due in that window. HidenGPT's Email format drafts a short request with the dates in the subject line and the handover in two lines. You get an email your manager can approve in one reply, without over-explaining why.

How to do it in HidenGPT

  1. 01

Check your company's leave policy and the team calendar, then count the working days you need and note anything due before, during and after.

  2. 02

Pick Email, set Email type to Business email, put your manager's name under To and write “approval for these dates” under Your ask.

  3. 03

Paste the dates, the day count, who covers your work and how deadlines are handled into the main box.

  4. 04

Make sure the dates are in the subject line and the first sentence, and remove any long explanation of why you want the time.

  5. 05

Send it as early as you can, then log the request in your HR system if your company uses one, since the email alone may not count.

Email / Newsletter: Subject lines that get opened, emails and newsletters that get replies.

Example: three requests for three situations

Vacation, booked well ahead (72 words):

“Subject: Time off request: Dec 21 to 31

Hi Kevin,

I'd like to take Dec 21 to Dec 31 off, which is 8 working days with Christmas Day off anyway. The Q4 dashboard is due Dec 18 and will be finished before I leave. Sam has agreed to cover client tickets, and I'll brief her on Dec 17.

Can you approve these dates? I'll log them in Workday once you do.

Thanks, Rosa”

One day, short notice (38 words):

“Subject: Day off on Friday, Oct 23?

Hi Kevin, could I take Friday, Oct 23 off for a family matter? Nothing is due that day, and I'll move my 2 pm call to Thursday. Thanks, Rosa”

A personal day you'd rather not explain:

“I need to take Monday, Nov 2 off for a personal appointment.” That is enough. “Personal reasons” is a complete answer for ordinary leave in most workplaces.

How much notice, and when to ask

Your employer's policy decides this, so read it first; it often sits in the handbook or the HR portal. Where the policy is silent, these are common habits, not rules:

- One day: a few days to a week ahead. - A week or more: four weeks or more ahead. - Around Thanksgiving and the December holidays, when many people want the same days: as early as you can, often two months or more. Thanksgiving 2026 is Thursday, Nov 26, and Christmas falls on a Friday, so the Monday to Thursday of that week and Dec 28 to 31 tend to fill up first.

Ask before you book flights when you can. If you already booked, say so plainly and ask anyway: “I've booked flights for these dates, so I'm asking early.”

Sick days, a family emergency or medical leave follow different rules. Tell your manager the same day in a short message, and ask HR which process and forms apply.

What makes a request easy to approve

A manager deciding on leave is asking one question: what happens to the work? Answer it before they ask.

- Dates first, as weekday plus date, and the number of working days. - Deadlines in that window: done before, moved, or covered by someone. - A named colleague who agreed to cover, not “the team will handle it”. - How reachable you will be. “I won't check email” is a fine answer; say it, so no one waits for you.

What to leave out: a long reason, an apology for asking, or a list of how hard you have worked this year. Leave is part of the job's terms, not a favor.

Before: “I'm so sorry to ask this at a busy time, but I was wondering if it might be possible for me to maybe take a few days off at some point in December?” After: “I'd like to take Dec 21 to 31 off. Here's how my work is covered.”

What the Email format does with a leave request

Business email tells the draft to put the purpose in the first paragraph and close with a clear next step and a date, which here means the dates and the approval you need. Short length is 50 to 120 words; most requests should stay near the bottom of that range.

The subject line comes first and stays under about 50 characters, with room for “Time off request” and the dates. The draft uses only the dates and names you give; it does not check your leave balance or your company's calendar, so compare the dates with both. A light red pen pass removes padding such as “I hope this email finds you well” and “I wanted to reach out to ask”.

Not the right tool if

  • Medical, family or disability leave under the law or your company's policy. Ask HR which forms apply; an email to your manager is not the formal request.
  • Disputing a refused request. Read the policy and talk to HR; a sharper email rarely helps.
  • Calling in sick on the morning itself. A two-line message or a call is faster than any drafted email.

Other ways to do it

Your HR system's leave form
Often the official request. Many teams expect the form plus a short note to the manager so the dates are visible.
Asking in your one-on-one
Good for longer trips. Follow the conversation with a two-line email so the dates are in writing.
A team chat message
Fine for a single day in a relaxed team. Keep it to the date and who covers.
ChatGPT or another chatbot
Quick, though it tends to over-apologize and explain. Cut the reason down to one line or none.

Questions

How do I ask for time off by email?

State the dates and the number of working days in the first sentence, say who covers your work and how deadlines are handled, and ask for approval. Keep it under about 100 words.

Do I have to give a reason for a day off?

For ordinary vacation or a personal day, usually not; “personal reasons” or no reason is fine in most workplaces. Sick leave and protected leave can have their own rules, so check with HR.

What should the subject line say?

“Time off request” plus the dates, such as “Time off request: Dec 21 to 31”. Your manager can find it later and sees the dates without opening it.

How far in advance should I ask for vacation?

Follow your company's policy. Where there is none, four weeks for a week or more is a common habit, and earlier for the weeks around Thanksgiving and Christmas.

What if my manager says no?

Ask which dates would work instead, or whether a shorter break is possible. If you think the refusal goes against the policy, take it to HR rather than arguing by email.

Is using AI for a leave request okay?

Yes, it's a routine email built from your own dates and plans. It drafts from what you type; you check the dates and the cover arrangement and send it as your own.

Can I try it before I pay?

Yes. The homepage gives visitors 2 drafts a day without an account. A plan adds saved history and voices built from your own emails; Pro's first month is $3.
