A customer's order is going to be late and I need to send an apology that doesn't read like a form letter.

Bring the order number, what went wrong in one sentence, the new date or the choices you can offer, and anything you are giving back. HidenGPT's Email format, set to Apology, drafts a letter that owns the problem, names a date and one next step, and never promises compensation you didn't offer. You check the facts and send it.

How to do it in HidenGPT

  1. 01

Write the apology as soon as you know about the problem, before the customer has to ask where the order is.

  2. 02

Pick Email, set Email type to Apology / complaint reply, put the customer's name under To and the choice you need from them under Your ask.

  3. 03

In the main box, give the order number, the cause in one plain sentence, the new date or “no date yet”, and exactly what you are offering, nothing more.

  4. 04

Leave Length on Medium (120 to 250 words) and fill in Signature with your real name and shop so no placeholder slips through.

  5. 05

Check every date and amount against the order, then send it from the address the customer already knows.

Example letters: a late order and a sold-out item

Example 1, a delayed order (the walnut table above), 158 words:

“Subject: Your walnut side table, order #4471: new ship date

Hi Jenna,

Your side table won't ship by October 16 as promised, and I'm sorry. Our finishing supplier sent the wrong stain, and I'd rather wait for the right one than send you a table that doesn't match the photos.

The new ship date is October 30. You have two options:

1. Keep the order. I'll refund 15% of the price to your card today. 2. Cancel. You get everything back, shipping included, within a few working days.

Just reply to this email with 1 or 2. If I don't hear from you, I'll keep the order going and still send the 15%.

I'll email you with tracking the day it ships.

Tom Becker Becker Woodworks”

Example 2, an item that sold out after payment, 104 words:

“Subject: Order #2290: the green mug is sold out

Hi Sam,

I'm sorry: the last green speckled mug sold in the shop on the same afternoon you ordered it online, and our stock count hadn't caught up. That's our mistake.

I can send the same mug in blue this week, or make a green one in the next kiln firing, ready around November 12. If neither suits you, I'll refund the full amount.

Reply with blue, green or refund and I'll take care of it the same day.

Alina Clayhouse Studio”

In both, the cause takes one sentence, the reader's choices are numbered or named, and nothing is buried under the apology.

What a US delay notice has to include

If you sell online, by mail or by phone in the US, the FTC's Mail, Internet, or Telephone Order Merchandise Rule sets a minimum. Its business guide, read on 15 October 2026, says that when you don't state a shipping time you need a reasonable basis to ship within 30 days. When you learn you can't ship on time, you have to ask the customer to agree to the delay, and the notice must give a definite revised ship date or say you can't give one, tell them they can cancel for a full, prompt refund, and give them a way to cancel at your expense, such as a reply to the email.

The guide also covers refunds: when the customer paid by cash, check, money order or a card where a third party is the creditor, within seven working days after the order is cancelled (one billing cycle if you are the creditor yourself), for the full amount including shipping, and not in store credit. There is more detail on what silence counts as and on longer delays, so read the guide itself if a delay runs long or you sell at volume, and ask a lawyer about your case. Outside the US, check your own country's consumer rules; many have similar requirements.

A useful habit either way: the two letters above already contain the date, the cancel option and the way to cancel. Write every delay notice so it would pass that test.

The order of the letter, and what to cut

A customer reading an apology wants three answers in this order: what happened to my order, when will I get it, and what can I do. Put them in that order and keep the apology itself to one honest sentence near the start.

The subject line should name the order and the news, for example “Order #4471: new ship date”. “An update on your order” makes people expect bad news without saying what it is.

Before, 41 words: “We sincerely apologize for any inconvenience this may have caused. Due to unforeseen circumstances beyond our control, your order has been delayed. We appreciate your patience and understanding during this time and are working hard to resolve the issue as soon as possible.”

After, 33 words: “Your table won't ship by October 16 as promised, and I'm sorry. Our supplier sent the wrong stain. It ships October 30, and you can keep the order or cancel for a full refund.”

Cut on sight: “any inconvenience”, “unforeseen circumstances”, “beyond our control”, “we appreciate your patience” (they haven't agreed to be patient), and blaming a named courier or employee. If the customer has already written to you angry, answer their message first, in the same thread, and quote their order number back so they know you looked.

What the Email format does with an apology

Setting Email type to Apology / complaint reply gives the draft a rule: own the problem without excuses, say clearly what will be done and by when, and don't promise compensation that wasn't offered. That last part matters in a customer letter. If you write nothing about a refund, the draft won't invent one, so put your real offer in the main box in plain numbers.

The letter starts with a subject line kept to about 50 characters, with a warning past 60, and three other subject lines follow if Subject line ideas is on. The spam check flags wording like “act now” or a row of exclamation marks, which matters if the apology goes to many customers. A light red pen pass removes the stock phrases listed above and shows a naturalness score before and after.

It writes one letter at a time and doesn't send anything. When 300 orders are late for the same reason, draft one good version here, then paste it into your shop or email tool and let that fill in names and order numbers.

Not the right tool if

  • Product recalls, safety problems or injuries. Those follow the regulator's and your lawyer's guidance, not a template apology.
  • Disputes already in a chargeback, small claims or a lawyer's letter. Answer through that process.
  • Sending or merging the letter to a customer list. HidenGPT drafts the text; your shop or email tool sends it.

Other ways to do it

Your shop platform's order-update emails
Fine for routine shipping notices. A real delay or a sold-out item deserves a written note from a person on top of it.
A phone call
Better for a large order, a long-time customer or someone already upset. Follow it with a short email that confirms the date and the choice they made.
ChatGPT or another chatbot
Quick, but it tends to stack apologies and reach for “unforeseen circumstances”, so cut it back to the cause, the date and the choice.

Questions

How do I write an apology letter to a customer for a delayed order?

Say the order is late and that you're sorry, give the cause in one sentence, give the new date or say you don't have one yet, and offer the choice to wait or cancel for a full refund. Name the order number in the subject line.

What do I say when an item is out of stock after the customer paid?

Tell them plainly that it sold out and why your stock count missed it, then offer two or three real options: a similar item, a later date or a full refund. Ask them to reply with their choice and act on it the same day.

Should I offer a discount or a gift in an apology letter?

Only if you mean it and can afford it. A partial refund or a small credit helps after a long delay, but a clear date and an easy way to cancel matter more, and the letter must not promise anything you won't give.

When should I send the apology?

As soon as you know the order will miss its date, not after the customer asks. In the US, the FTC's mail-order rule expects you to tell the buyer about a delay and offer the option to cancel.

Email or phone?

Email for most orders, because the customer needs the new date and their choice in writing. Call first when the order is large, the customer is already upset or the delay ruins a date they told you about.

Is it honest to use AI to write a customer apology?

Yes, if the facts are yours and you stand behind them. HidenGPT drafts from the order details and the offer you type; you correct anything that isn't right and send it under your own name.

Can I try it before paying?

Yes. Visitors get 2 drafts a day on the homepage without an account, enough for one apology and a second version. A plan adds saved drafts and voices from your own emails; Pro is $3 for the first month.
