Someone left my business a one-star Google review and I don't know how to reply without making it worse.

Bring the review, what actually happened on your side and one thing you can offer, such as a call or a redo. HidenGPT's Anything format drafts a calm public reply of about 50 to 120 words that thanks them, owns what went wrong, corrects facts without arguing and moves the rest offline. You check it and post it.

Use it for

How to do it in HidenGPT

  1. 01

Wait until you can read the review without your pulse going up, then check your records so you know what really happened.

  2. 02

In the main box, paste the review word for word, say what happened on your side in two sentences, name the private offer and ask for a reply under 90 words.

  3. 03

Keep Length on Short and Tone on Professional, and ask for two versions so you can pick the one that sounds like you.

  4. 04

Cut any line that argues, explains too much or repeats private details such as an order total or an appointment time.

  5. 05

Post it from your Business Profile under Read reviews, then send the private message or make the call you promised.

Anything: Describe what you need; it works out the format and writes it.

Example replies for three kinds of one-star review

Example 1, a fair complaint (the cold pizza above), 68 words:

“Thank you for telling us, and you're right to be annoyed. Our oven went down for about 25 minutes on Friday, and we should have called everyone who was waiting instead of letting the quoted time slide. That's on us. I'd like to make it up to you properly, so please call me at the shop at (555) 014-2290 or email marco@rossis.example. Marco, owner”

Example 2, a review with a wrong fact (“They charged my card twice”), 61 words:

“Thanks for flagging this. I checked our card terminal for that evening and see one charge of $42.10; a second line on a statement is often a temporary hold that drops off in a few days. If it's still there, please email me a screenshot at hello@greenleafnails.example and I'll sort it out with you directly. Priya, owner”

Example 3, a review you can't match to any visit, 47 words:

“We take every review seriously, and I'd like to understand what happened. I can't find a booking that matches this, so please reach me at the number on our profile with the date of your visit and I'll look into it myself. Dana, manager”

The pattern is the same each time: thanks in a few words, the specific thing acknowledged, one fact if a fact is wrong, then a named person and a direct way to reach them. None of them offers a refund or a coupon in public.

What Google does with your reply, and with the review

Google's Business Profile help pages, read on 15 October 2026, describe the mechanics. Your reply appears publicly under the review, labelled as a reply from the business, and the reviewer is notified. Google checks replies against its content policies first; most are reviewed within about 10 minutes, though some take up to 30 days. You can edit or delete your reply later, and the customer can still change their review after you answer.

Google removes reviews only when they break its policies, and its help page advises against reporting a review just because you disagree with it. If a review is spam, off topic, abusive or written by someone with a conflict of interest, such as a former employee or a competitor, you can flag it from Read reviews or in the Reviews Management Tool, which shows whether it is still pending, found not to violate policy, or escalated. A rejected report gets one appeal.

Two things to stay away from. Google's Maps content policy says merchants may not offer incentives, including discounts or goods and services at no charge, in exchange for removing or changing a negative review. In the US, the FTC's rule on consumer reviews, in force since 21 October 2024, bars businesses from using threats, intimidation, knowingly false accusations or groundless legal threats to get a review taken down. Fixing the problem and asking politely whether they'd update the review is still allowed. This is a summary of those pages, not legal advice.

The opening line, the length and what to leave out

The person you are writing for is the next customer reading the reviews, not only the angry one. They want to see that a real person read the complaint and did something about it.

Open with the specific thing, not a formula. Before: “We're sorry you feel that way and we value all feedback from our customers.” After: “You waited 50 minutes for a pizza we promised in 20, and that's on us.” The second version proves you read the review.

About 40 to 90 words is enough for most replies. A long reply reads as defensive, and readers scrolling on a phone stop after a few lines.

Leave out:

- Anything private: the customer's surname, what they ordered, health details, a booking time, the amount they spent. - The offer itself. Say “please call me” in public and make the offer in private, partly because of Google's incentive rule and partly so the reply doesn't read as a price list for complaints. - Staff names in a negative context. - “As per our policy” and other lines that sound like a form. - The same pasted paragraph under every review. Readers notice.

A rule of thumb on timing: reply within a day or two on weekdays. A reply posted weeks later still helps the next reader, so late is better than never.

Why this page opens the Anything format

A review reply is a short public post, not an email, so this page presets Anything with Length on Short (about 50 to 150 words) and Tone on Professional. The Email format would start the draft with a subject line and a signature placeholder, which you'd have to delete before pasting into Google. If you also want to send the customer a private email afterwards, switch to Email and set Email type to Apology / complaint reply, which tells the draft to own the problem, say what will happen and when, and never promise compensation you didn't offer.

Tell the request your limits in plain words: the word count, “no offer in public”, the name to sign with. Ask for two versions and choose. A light red pen pass removes lines such as “We value your feedback” and shows a naturalness score before and after; the score is an editing aid, not an AI detector. On a plan, a voice built from replies you already wrote yourself keeps new ones sounding like the same owner.

Not the right tool if

  • Reviews that claim an injury, food poisoning, discrimination or a legal violation. Talk to your insurer or a lawyer before you reply in public, and keep the reply to an invitation to make contact.
  • Getting a review removed. Only Google decides that, under its own policies, and no wording in a reply changes it.
  • Replying to a backlog of 200 reviews in one go. It drafts one reply at a time, and each one should mention its own review.

Other ways to do it

Writing it yourself in three sentences
Thanks plus the specific thing, one fact or fix, a named person and a phone number. Takes five minutes once you are calm.
Asking a calm colleague to read your draft
Good when the review stung. Someone less involved spots the defensive sentence you can't see.
ChatGPT or another chatbot
Fast, though replies often open with “We're truly sorry to hear about your experience” and run long, so trim to the specific point.

Questions

Should a business respond to negative Google reviews?

Yes, in most cases, because future customers read the reply more closely than the review. A short reply that names the problem and gives a direct contact shows that someone is paying attention.

How long should a reply to a bad review be?

About 40 to 90 words, as a rule of thumb. That is enough to thank them, name the problem, correct one fact if needed and give a contact, and short enough to read on a phone.

Can I get Google to remove a negative review?

Only if it breaks Google's content policies, for example spam, off-topic content or a review from a competitor or former employee. Flag it from your Business Profile or the Reviews Management Tool; a review that is simply negative stays up.

Can I offer a discount if they change or delete the review?

No. Google's Maps policy bars merchants from offering incentives, discounts included, in exchange for removing or changing a negative review. Fix the problem first; you may then ask whether they'd consider updating it.

What do I say to a review I think is fake?

Say you can't find a matching visit and invite them to contact you with the date, without calling them a liar. Then flag the review to Google if it breaks a policy.

Can I edit my reply after posting it?

Yes. Under Read reviews in your Business Profile you can edit or delete your reply, and Google checks the new version against its policies again.

Is it OK to use AI to write review replies?

Yes, if the reply is true and you post it as yours. HidenGPT drafts from the review and the facts you give it; you change anything that isn't accurate, keep the private details out and sign it with your own name.

Can I try it before paying?

Yes. The homepage gives visitors 2 drafts a day without an account, enough for one reply in two versions. A plan adds saved history and voices built from your own writing; Pro is $3 for the first month.
